Pre-Event:
Invoice
Representatives must submit an invoice in order to have Sonlight pay appearance fees, according to the contract parameters. Below is an invoice template which contains all the information Sonlight will need to process the request. Feel free to adapt this one for your needs or to create one of your own.
- Please name the file as follows: INV_convention code_conv. date (Example: INV_AB2_050215)
- Please submit your invoice at least a month in advance of your scheduled event.
- Please submit one invoice per event.

Post-Event:
Post Event Evaluation
This paperwork must be completed and turned in after each event, and prior to invoicing for any final fees to be paid.
- Please name the file as follows: convention code_sales code_date (Example: AB2_123_050215)

Prospect List:
Prospect lists capture the information from contact cards so they can be accurately entered into our customer database (Assist). It is important that customer information be entered accurately so we do not end up with duplicates in the system, and because it allows us to track convention statistics more accurately.
- Please name the Excel file as follows: convention code_sales code_convention monthday_year (Example: AB2_123_0614_2015)
- Be sure to record all prospects from a single event on one spreadsheet. Do not submit multiple spreadsheets for a single event.
- For consistency in our customer database, please enter all data in upper case (Example: DANA SMITH 236 PINE DRIVE DALLAS TX)
- Please do not enter any contact card that contains a name only. We must have a complete name and at least one other identifying data piece (i.e. email, street address, phone number).
- Country data: The United States should be listed as US (not USA). All other countries can be spelled out (i.e. CANADA).
- Do not use any dashes or parentheses in your prospect list entries.
- In the date field, please enter the first day of the event in question.
- Enter the date as 4-digit year 2-digit month 2-digit day (Example: 20150615)
- Be sure that your Sales Code and Convention Code are listed all the way down the spreadsheet.
